Welcome to Carved and Crafted Catering by Colgate Dining. We pride ourselves in providing exceptional service, creative and delicious culinary experiences, and quality that will delight and impress you and your guests.

Our experienced catering team is here to help. Booking Policies

When booking your event, please allow for the allotted time listed below:

  • Delivery: Three business days in advance
  • Unattended Buffet: Five business days in advance
  • Attended Buffet: Seven business days in advance
  • Full-Service Event or Event Over 100 Guests: Fourteen days in advance
  • Custom Menu Requests: Thirty days in advance

Last-Minute Orders

We understand that plans change and situations arise unexpectedly, and we will do our best to accommodate your needs. Orders placed less than 24 hours in advance may be subject to a 15% rush charge and are dependent on product and staff availability.

We require a $100 minimum for delivery orders placed during our normal operating hours. Additional fees may be incurred depending on the scope and requirements involved in executing the event.

Minimum Orders

Many of our menu items require a minimum quantity. Orders for less than the minimum quantity may be billed for the minimum order requirement or may be subject to a 15% under-minimum fee, whichever is greater.

Cancellations

We ask that event cancellations be made at least five business days before the event. Events canceled fewer than five business days before the scheduled date may incur a cancellation fee based on a percentage of the original invoice:

  • Four days before the event: 25%
  • Three days before the event: 50%
  • Two days before the event: 75%
  • On or after 24 hours before the event: 100%

Please contact us, and we will do our best to be flexible by providing other options or accommodations. This policy is subject to change and may vary depending on event details, rentals, and other applicable circumstances.

Guest Count

We request that a final guest count be provided four days before your event. We will do our best to accommodate changes that are not made within this time frame.

The final invoice will reflect the guaranteed guest count or the number of guests in attendance, whichever is greater.

Timelines

If your event requires a timeline, we ask that you share it with us along with any other pertinent information. Please let us know as soon as possible if changes to the timeline occur.

Staffing

For most events, we allot 30 minutes before the event for setup and 30 minutes after the event for teardown. An additional fee will be incurred for extended setup or teardown outside of this time frame.

Events requiring full setup and breakdown will require the addition of a labor fee. An attendant fee will be charged for any event that requires staff to remain at the event for its entire duration.

Events are billed in four-hour increments. Additional labor fees will be charged by the hour for any time beyond this allotment, according to the staff members required:

  • Service Staff: $35 per hour
  • Bar Staff: $40 per hour
  • Culinary Staff: $50 per hour
  • Event Captain: $45 per hour

Delivery

We charge a $15 delivery fee for all on-campus events delivered using disposable service items.

Off-campus deliveries require a minimum delivery fee of $50. Additional fees may be required depending on the delivery location.

Included Disposables

In keeping with our commitment to sustainability, all our disposable products are made from compostable materials. Learn more about Chartwells Higher Education sustainability .

Every order includes the following compostable products:

  • Plates
  • Flatware
  • Napkins

We also offer china service for an additional fee. Contact a member of our catering team to learn more.

Buffet Setup Items

For orders requiring a buffet setup, we provide the following items:

  • Linens: Black 85-inch by 85-inch linens for each buffet and beverage table. Additional options and custom offerings are also available.
  • Buffet Service Items:
    • Reusable buffet utensils
    • Product identification cards and holders
    • Chafers, contingent on event requirements
    • Chafer fuel
    • Platters
    • Risers

Bar Service and Alcohol Policies

Alcohol Provided

We provide alcohol that we regularly have on hand. Ask a member of our catering team for a comprehensive list.

We may provide specially requested items depending on availability. A fee may be associated with special-order items. Outside alcohol may not be provided or served at an event.

Per the New York State Liquor Authority, events at which alcohol is provided must also provide food and readily available nonalcoholic beverages.

Identification Requirements

All guests in attendance must have a valid, government-issued form of identification and must be prepared to present it when ordering at the bar.

If students are in attendance, all guests wishing to consume alcoholic beverages must present identification and receive a wristband. We reserve the right to check identification even if a wristband is present.

Refusal of Service

We reserve the right to refuse service to any guest for any reason other than race, creed, color, national origin, age, gender, disability, marital status, partnership status, sexual orientation, or alienage or citizenship status.

Last Call

For most events, last call will take place 30 minutes before the end of the event. When requested, we may extend bar service.

An extension request may only be made through the event contact and the Catering Director. We reserve the right to refuse the extension for any reason. If service is extended, all associated fees will apply.

Consumption Bar

There is a $300 minimum for all consumption bars. The final invoice will reflect either the $300 minimum or the total consumption during the event, whichever is greater.

Cash Bar

There is a $300 minimum for cash bars. If purchases at the bar do not exceed the minimum, the final invoice will reflect the difference between the amount purchased and the required minimum.

Wine Service

If requested, we will provide tableside wine service. Ask a member of the catering team about wine availability and our current selection.

Any special-order wine may not be taken home at the end of the event.

Liquor Licenses

For events serving alcohol outside one of our currently licensed spaces, a temporary license must be ordered from the state for the event.

Our department will take care of filing for the license. There is a $75 fee for each license required and a minimum lead time of 30 days.

All events with alcohol service must follow New York State alcohol service laws and Colgate catered event alcohol policies.

Difficult Delivery

Events requiring delivery to locations without reasonable access may incur an additional delivery fee.

There may be locations on campus where we cannot offer service. We reserve the right to refuse service to a location when necessary for the safety of our staff.

Campus Buildings

Follow all Colgate policies and procedures for:

  • Procuring the event space
  • Coordinating with the appropriate campus departments
  • Procuring required equipment, such as tables and chairs
  • Following all policies and procedures of the university

We are not responsible for issues related to setup outside the scope of our responsibilities for the event.

Although we do our best to ensure that your event space is exactly how you want it, we are not responsible for building issues outside our control that may interfere with your event.

Food Delays and Day-of Timeline Changes

We take food safety very seriously. To protect the health and safety of you and your guests, we adhere to strict timelines in accordance with New York State health regulations.

Last-minute timeline changes or delays could result in a disruption of service. Contact us for more information about applicable food-handling and safety regulations.

Inclement Weather

In the event of a weather-related cancellation, we will determine a fair and equitable way to resolve the cancellation based on the circumstances. We cannot guarantee leniency regarding our policies.

Dietary Restrictions

We do our best to accommodate dietary restrictions and requests. Please inform us of any guests who may require special preparation or who have food allergies or dietary restrictions.

For their safety, guests with dietary restrictions or allergies are asked to check in with a member of the catering team on the day of the event to ensure that nothing is overlooked.

Please be aware that we handle and prepare the following products and other potential allergens in the food-production areas of our facility:

  • Egg
  • Milk
  • Wheat
  • Shellfish
  • Fish
  • Soy
  • Peanuts
  • Tree nuts
  • Sesame products
  • Other potential allergens

Tax Exemption

Please submit a tax-exemption certificate when booking the event so that it can be billed accordingly.
